QuickBooks Integration
Your storage billing, already in QuickBooks.
UnitsHQ sends tenants, invoices, payments and credit memos to QuickBooks Online, and brings payments you record in QuickBooks back against the right invoice. No exports and no typing invoices in twice.
What syncs
Billing happens in UnitsHQ, the books stay in QuickBooks
Rent is invoiced from each tenancy in UnitsHQ. Each invoice goes to QuickBooks under the tenant's customer record, and each payment is deposited to the account you choose, so your books are current without anyone keying them in.
- Tenants become QuickBooks customers, matched by name if they're already there
- Invoices, payments and credit memos go across as they happen
- Payments land in the deposit account you pick, such as Undeposited Funds or your checking account
Both directions
Changes made in QuickBooks come back
If a tenant mails a check and your bookkeeper records it in QuickBooks, UnitsHQ picks up the payment, marks the invoice paid and stops the reminders. Due date changes come back too. If someone edits an amount in QuickBooks, UnitsHQ flags it for you to check instead of quietly changing the tenant's balance.
- Payments recorded in QuickBooks update the invoice in UnitsHQ
- Invoices voided in QuickBooks are canceled in UnitsHQ, unless they've been paid
- Sales tax follows your QuickBooks setup, including automated sales tax

One list of anything that needs you
Anything that didn't sync, or a QuickBooks change UnitsHQ couldn't apply, shows up in a Needs attention list with the reason. Retry it once you've fixed the cause, or mark it resolved.
- Failed items retry on their own before they ever reach the list
- Invoice problems link straight to the invoice
- Sync now whenever you want to send everything straight away

Common questions
Which QuickBooks does it work with?
QuickBooks Online. QuickBooks Desktop isn't supported.
Will it create duplicate customers?
No. When a tenant already exists in QuickBooks with the same name, UnitsHQ links to that customer instead of making a new one.
Do I still need to reconcile my bank feed?
Yes, as you would for any deposit. The difference is that every invoice and payment is already in QuickBooks, so matching the feed is quick.
What about Xero?
UnitsHQ also has a two-way Xero integration. You connect one or the other for each facility.
